A few things ...
Keeping electronic copies: I've started getting a BRF of these music
files as well, if I can. Let's be honest. Braille dots die over
time, and if you squeeze them onto a shelf like I have to, then
"Dearest Mama" starts looking like "nearest Nana". If you have the
BRF along with the hard copy of the Braille, you can always re-emboss
it if you have to. Not just that, but you can use a braille note
taker or something to edit that BRF file with the changes the
conductor, teacher, whoever decides to have you make, or just what you
decide to do. Somehow, I doubt my regular transcriber would be
thrilled if I called him and said: "Richard, the orchestra has piano
here and forte four bars later. Can you notate that in the vocal
line? Thanks. You're a doll." Also, if you lead the typical college
lifestyle or any kind of lifestyle that's not the most stable as far
as living situation and you have to move around a bit more than you'd
like to admit to Lord knows whose closet for renting space, the
Braille files are nice to have in case something gets misplaced or you
decide that for the sake of expense, you need to contribute to global
warming and toss/recycle a few volumes. For instance, I'm looking to
move abroad in about a year. I do not foresee myself lugging all
three book shelves that are crammed with regularly used sheet
music/books, along with the ones in "storage", otherwise known as my
mom's garage and closet with me around the globe. Thus, the Braille
files. Try conning Rehab into giving you an embosser. And just as a
disclaimer, I have yet to rent a closet from anyone.
Keeping a database: Try and keep a database written down of what
sheet music you do have. If they're anthologies, keep a copy of the
table of contents. It might be good to write down who transcribed it
and when they did so that you can harass them like I've done to
Richard plenty of times for various reasons.
Physical storing: Really try and get those cheap plastic binders from
APH if you can. If you can't afford it or whatever, try and see if
you can get Rehab to get several for you and hoard them. Did I say
that? Also keep them in a file as Dani said. (I love that idea, by
the way, Dani, thank you.). And in that database that has all your
sheet music, titles, composers, from what anthology and what publisher
because you'd be surprised with how much that might matter, along with
who transcribed them and when, write out where you've filed them
physically. It takes ridonculous organization, I know, and I
definitely have to practice what I preech and check through some of my
inventory to make sure some more music isn't broken and bleeding all
over the place, but it saves a lot o' tears. And if you're someone
who does different things like different ensembles, solo stuff, etc.,
write in that database when you performed it. I personally keep solo
stuff and ensemble stuff separate because it's easiest for me. Along
with that, I keep art song and opera arias separate for further
organization just because ... I'm cray-cray. If it's easiest for you
to alphabetize, chronologise, etc., be my guest and far more power to
ya, my friend.
